TERMS AND CONDITIONS for HOTEL RESERVATIONS  for individual travelers


1.    Reservations in hotels are done by Best Poland, each time on request and based on checking the availability of rooms in hotels. If reservation is possible, the Customer will receive information about ability, price and cancellation policy during next 12 hours.
 
2.    The Customer is obliged to make sure that the confirmation document has been sent, and in other case, the Customer, should contact with Best Poland.

3.    Hotel rates, which are presented in each offer, are given in Euro, per room (or in specified cases per apartment) and per night. VAT (value-added tax) and breakfasts are included in price.

4.    Hotel rates given in writing are valid, only.

5.    Best Poland guarantees that the prices, in each offer, are never higher than the basic rates available at the Hotel at the moment of booking.

6.    All reservations confirmed by Best Poland are valid for late arrivals, that is after 18:00.

7.    For additional services, which are not included in price, the Customer must pay on the spot at the Hotel.

8.    Payment method:

The amount, given on invoice, should reach Best Poland bank account at least 10 days before the arrival date.
Please note that: international bank transfers may take even up to 5 working days that’s why, we require bank confirmation. You can deliver it by fax: +48 (0) 12 654 33 58 or via e-mail as a scan.

9.    Cancellation conditions: due to each hotel is having different cancellation policy that is why conditions are sending to each request individual..

10.    The Customer must print the accommodation voucher and present it while checking-in at the Hotel.

11.    The reservation is automatically cancelled 7 days before arrival if there is no payment or bank confirmation.

12.    Each change of reservation is free of charge.

13.    In rare cases if Hotel refuses to accommodate the Customer with prior reservation Best Poland will offer alternative accommodation of the same or higher standard and cover the costs of transportation to the alternative hotel.

14.    If the Customer prepaid the accommodation and does not agree on the alternative accommodation, Best Poland is obliged to make a full refund of all money paid by the Customer.

15.    All complaints regarding the Hotel have to be reported to the Hotel management during the stay.
16.    All complaints regarding the Service must be lodged in writing within 48 hours of the time the Customer first experienced their causes or within 48 hours from checking out of the Hotel.

17.    If complaints reach to Best Poland later than within the above-mentioned deadlines, it may decrease the ability of Best Poland to effectively rectify the problem.

18.    Best Poland is having 14 days to response for each complaint.


TERMS AND CONDITIONS for AIRPORT TRANSFERS for individual travelers


1. AIRPORT TRANSFER RESERVATION AND PROCEDURE

Each transfer is arranged with private car with English speaking driver on minimum basic level and according to details send by Customer.

To make a reservation please let us know about:
-    number of persons
-    from which airport should we pick you up
-    date of arrival
-    number of your flight and from which country and city you are traveling
-    hour of landing in Poland
-    number of cell phone which you will have with you.

Please note: any changes to arrival flight details must be informed in writing by fax or e-mail.

After successful payment the Customer will receive: confirmation of all services, vouchers and an invoice.

AT THE AIRPORT IN POLAND:


Our driver will be waiting for Customer in front of arrival gate with greeting card with Customer’s surname and name of our company on it. The Customer must print the transfer voucher and present it while meeting the driver.

Once a reasonable waiting time has expired our driver will contact with information desk at the airport and Best Poland will call to the Customer if a valid mobile telephone number is given.

If after 60 minutes there is no contact and the driver is unable to make contact with Customer the driver be authorized to leave the terminal and Customer will be liable for a 'no show'. After 60 minutes it is the Customer's responsibility to make contact with Best Poland to advise there is a delay to avoid paying for the cost of the journey.

2. PAYMENT POLICY
All prices are given in EURO.

3. CANCELLATION POLICIES


Free cancellation: minimum 72 hours before the arrival date
50% cancellation fee: between 72 and 24 hours before the arrival date (till 12.00 pm on the working day preceding the tour date).
100% cancellation fee: no show or cancellation after 12:00 pm on the working day preceding arrival date.
 
Please note: in case of free cancellation Customer will be charged with 3% of handling charge.

4. OFFER VALIDITY

Each quotation of transfer created on request is valid 2 months. After this time and without earlier acceptance from Customer, price can be changed.

6. COMPLAINTS


Best Poland  will do our best to remove promptly the causes of all well-found complaints. If a service is not delivered properly, Best Poland must be notified immediately, as to allow for the opportunity to remedy the situation.
Best Poland will only pay Customer’s claim if Customer meet following conditions – contact us immediately when you couldn’t find our driver at arranged time. Best Poland will not pay any compensation higher than the cost of booked transfer from or to the airport.


7. OUR RESPONSIBILITY


It is the responsibility of Best Poland to do our best to provide the services in form which is accepted and confirmed by both parties.
We have taken all responsible steps to ensure that the suppliers of all services provided are of an acceptable standard.

We cannot be held responsible for errors, acts, omissions of any third party not directly employed or subleased by Best Poland.

Best Poland is no responsible for acts of God, or of Governments, climatic conditions, change in schedule, delay, injury, loss, theft, strikes and other omissions, acts, incidents, and conditions beyond our control.

1. GENERAL DESCRIPTION:


Our tours include at least two different services. On website: www.bestpoland.eu we offer various itineraries, but we are open to all Customers’ suggestions and requests.
Each tour is composed on the basis conditions (enclosed to all our outgoing e-mails with offer) after it receives an acceptance of both parties – our travel agency and the Customer.


2. PAYMENT POLICY
All prices are given in EURO.

5. PRICE INCREASE


For tours on request we confirm the price in EURO according to exchange rate up to date.
Prices can increase in the case that:
-    the Customer requests more services after our quotation
-    after 2 months (in case, when Customer will not contact us) – previous offer will expire.


6. COMPLAINTS


Best Poland  will do our best to remove promptly the causes of all well-found complaints. If a service included in a tour is not delivered properly, Best Poland must be notified immediately, as to allow for the opportunity to remedy the situation.
All complaints must be submitted in writing (e-mail, fax or post) no later than 7 days from the end of the tour. Best Poland will refund the difference between the contracted services and the replacement services, on the condition that the Client does not receive replacement services of the same or higher value. The Customer covers the costs of all replacement and extra services of a higher value if they are delivered at his/her request.

It is the responsibility of Best Poland to do our best to provide the services in form which is accepted and confirmed by both parties.
We have taken all responsible steps to ensure that the suppliers of all services provided are of an acceptable standard.
